Mission description

Purpose of the Job:

To oversee end-to-end logistics and documentation processes for vehicle import and export operations in line with deadlines, regulations and internal process requirements.

 

Minimum Requirements:

  • Diploma or higher qualification in Logistics Management or
    related field.
  • 2- 3 years’ experience in export administration, preferably in the automotive industry is preferred.
  • Strong verbal and written communication skills are essential for effectively liaising with internal departments and external stakeholders.

Profile

Essential Duties and Responsibilities:

  • Timely, efficient coordination of import and export processes in line with regulatory and process requirements
  • Handling documentation, coordinating with stakeholders, and ensuring compliance with regulations
  • Accurate, timely administration and reporting in line with regulatory and process requirements
  • Receive and review importation documents from various sources (e.g. Dubai office), ensuring completeness and accuracy.
  • Provide clearing instructions to clearing agents for timely processing of imported vehicles through customs.
  • Coordinate the transportation of vehicles from the port to the designated facility, ensuring timely delivery.
  • Ensure accuracy and timeliness of reports to facilitate decision-making and monitor performance indicators.
  • Maintain open and effective communication channels with key stakeholders, including suppliers, clearing agents, shipping lines, and distributors. Address any queries or concerns promptly to ensure smooth operations and strengthen relationships.
  • Maintain organised filing systems for import and export documentation. Update records regularly to reflect the latest information and developments in import and export activities.
  • Prepare and maintain documentation required for internal and external audits. Assist with audit processes by providing requested documentation and information.
  • Facilitate communication with external inspectors for vehicle inspections as required by export regulations.
  • Collaborate closely with the Assistant Manager to compile and submit various reports, including but not limited to:
    - CBU (Completely Built Up) reports
    - AMSME pending invoices report
    - Daily delivery schedules
    - Recovery reports
