The ideal candidate will report to the Manager, Government lease and will be based in Nairobi, Head Office - Government Lease Department.
Operational Responsibilities
a) Receive and review requests for service and / or repairs for vehicles as per lease agreement & CFAO Mobility Kenya SOP (Standard Operating Procedures)
b) Authorize service and/or repairs for vehicles, as per lease contract, to CFAO Mobility Kenya Branches, Dealers and TKASC
c) Capture / Create JAS in Fleet Management system by inputting job details in online the system
d) Operate the Government lease hotline as the centre of user communication to collect queries, analyse and offer suitable solutions
e) Communicate to clients on service and maintenance timelines for vehicles under service to ensure customer convenience and satisfaction.
f) Prepares relief vehicle, relief contract documents and processes the approvals. Keep Track of relief contract to ensure vehicle is returned on expiry time. Call fleet customer when contract expires.
g) Review used parts list and manage disposal for respective outlets
h) Grounded vehicle management and reporting
i) Continuously communicate with Dealers/ TKASCs on changes to process flows on invoice documentation to ensure customer service processes are standardised, updated, and smooth;
j) Capture all feedback and complaints from vehicle users as per the complaint resolution procedures, and take immediate steps to rectify the complaints promptly, for enhanced customer satisfaction and retention;
k) Follow up with users on accident vehicles insurance cases and documentation.
l) Review cost performance of their fleets
m) Manage the fleet software data administration including audit of data entries, status reviews and highlight inconsistencies to colleagues in order to ensure summary reports produced provide correct information;
Perform audit on service centre processes against SOP’s in order to report on any deviations that need to be addressed for enhanced customer satisfaction and retention.
