Mission description
To provide comprehensive Human Capital administrative support to the CFAO Equipment HC teams across all disciplines of Human Capital. The role requires working closely with the National Human Capital Manager to deliver excellent quality service to the business and includes but is not limited to: collation and distribution of personnel documentation, recruitment, employee benefits, reporting, maintenance of departmental policies and procedures, queries management.
This role is required to assist with the alignment of company HC/ IR processes with the Vision and Mission and to ensure employment activities are in line with the South African Labour Law and other related regulations.
Profile
· Recruitment
o Assist HC department with the screening of applicants for vacancies
o Advise business of market related package for advertised role
o Request dummy payslip where required
· Employee take-on
o Receive payroll input pack and check documents for accuracy and completeness
o Submit input to payroll department on or before deadline
o Prepare and distribute relevant employment contracts
o Collate new employee checklists and ensure personnel information is captured onto relevant systems
o Facilitate the process of electronic filing of new and existing employee information
· Benefits
o Submit and follow up with claim withdrawals and related queries
o Liaise with provident fund on disability application and claims
o Facilitate benefits plan evaluations and changes including plan analysis
· Terminations
o Collate Exit interviews and identify trends
o Submit monthly employee termination list to IT
· Employment Equity (EE)
o Prepare annual consolidated EEA2 and EEA4 reports and capture onto the Department of Labour website within required time frame
o Participate in the Shared services EE forum
o Ensure that monthly EE stats are available to respective business units on a monthly basis
o Monitor frequency of EE and workplace Forum activities, ensuring minutes of divisional meetings are available electronically for auditing purposes. Advise management of significant issues
· Policies
o Ensure that only current Human Capital policies, procedures, and processes are electronically available to the business
o Update on an annual basis
· Reports
o Collates and submits divisional BBBEE scorecard information on a monthly basis – Employment Equity statistics, Procurement information, Training Records, Socio Economic and Enterprise Development spend
o Preparation and submission of monthly DIVCO reporting: head count, staff movement, IR activity, disciplinary, labour litigation, Employment Equity progress
· ISO
o Create and update HC department processes and procedures
o Maintain departmental records
· General Administration
o Create as required or update on annual basis - Job Descriptions, Job Profiles, Skills audits
o Distribute payslips, benefit statements, bulk employee communication when required
o Issue Long Service Certificates for all business units on a monthly basis
o Ensure prompt and accurate payment of 3rd party suppliers to the Human Capital Department
o Co-ordination of the annual declaration submission and filing
o Assist HC department management with adhoc Human Capital projects
o Schedule of Monthly HC forum teleconference meetings; minute taking and distribution
o Maintain and manage employee
