Description de l'emploi :

Laborex Kenya Limited is one of the leading importers and distributors of pharmaceuticals, para-pharmaceutical products, and medical devices in East Africa, with operations spanning Kenya, Uganda, and Tanzania.
Laborex is part of CFAO Healthcare, the healthcare division of the CFAO Group. CFAO Group is a pan-African distributor of international brands, owned by Toyota Tsusho Corporation of Japan. Being part of this wider network gives Laborex Kenya access to global standards, resources, and expertise while remaining focused on strengthening healthcare access across East Africa.
As Laborex continues to expand and sharpen its commercial edge, we are seeking a driven, hands-on Operations Manager to drive operational excellence, elevate team capabilities, and foster strong ownership across warehouse and logistics functions.

The successful candidate based in Nairobi and reporting to the Head of Supply Chain, will be responsible for managing end-to-end warehouse operations and overseeing the systems and processes governing product receipt, storage, and customer dispatch - ensuring high service standards, strict compliance, and continuous optimization of delivery times.

 

Profil demandé :

Warehousing/Admin activities:

  • Manage and oversee reception, storage, and order preparation activities in accordance with established Standard Operating Procedures (SOPs).
  • Prepare and submit stock modification and investigation reports for processing, including expired, damaged, and non-conforming goods.
  • Coordinate stock management activities, including inventory transfers to other branch locations.
  • Maintain high standards of stock quality by monitoring inventory levels, minimizing stock-outs, analyzing customer returns, identifying short-dated products, coordinating inter-branch transfers, and facilitating the timely transfer of expired or non-saleable stock to the Head Office warehouse.
  • Manage product returns in full compliance with the approved Returns SOP.
  • Monitor and control inventory levels in accordance with CFAO Healthcare policies, Good Distribution Practices (GDP), and Pharmacy and Poisons Board (PPB) regulations.
  • Plan, organize, and supervise product coding activities to ensure accuracy and compliance with operational requirements.
  • Document, investigate, and report all operational deviations within the area of responsibility in line with the Non-Conformity Management SOP, working closely with the Quality team where necessary.
  • Safeguard warehouse operations and inventory by enforcing security procedures and protocols.
  • Oversee the maintenance and physical condition of the warehouse facility and its equipment to ensure a safe and efficient working environment.
  • Review existing SOPs and recommend improvements where necessary, while ensuring strict adherence to approved procedures across all warehouse operations.
  • Training, developing and mentoring warehouse employees. Perform annual appraisal interviews of your team members and assign needs/key objectives in line with Management strategy.

Warehousing/Admin KPI:

  • Maintain warehouse damages.
  • Ensure zero stock variances resulting from unauthorized stock modifications, with all inventory adjustments duly approved by both Quality Assurance (QA) and Management in accordance with company procedures.
  • Conduct daily physical stock counts and reconcile inventory records with AS400 in line with the Stock Management Standard Operating Procedures (SOPs).
  • Perform daily inspections of the warehouse facility and equipment, ensuring operational efficiency, cleanliness, safety, and timely identification of maintenance requirements.
  • Monitor, maintain, report on, and achieve PAQE program targets in accordance with established PAQE Key Performance Indicators (KPIs).

Outbound Activities:

  • Manage and maintain adequate, effective, and compliant insurance coverage for all logistics operations, ensuring timely follow-up and resolution of insurance claims in accordance with applicable policies and procedures.
  • Oversee the company vehicle fleet to ensure efficient, cost-effective, and high-quality distribution services while meeting established operational KPIs.
