Mission description

The Parts Manager is accountable for the profitable, efficient and compliant management of the parts business across the Cape Town operation, including the contribution of Northern Cape - Upington and Kimberley and Ceres and outlying areas, within the consolidated regional view. The role is responsible for achieving parts revenue, gross-profit, working-capital and customer-service objectives while maintaining optimal stock availability, inventory accuracy and operational discipline. The Parts Manager leads the parts team, develops customer and supplier relationships, supports workshop and field-service requirements, and ensures that all parts activities comply with company policies, procurement controls, health and safety standards, and applicable OEM requirements.

Profile

Key Performance Areas:

To perform this job successfully, the appointed individual must be able to perform each essential duty / key performance area satisfactorily. This list of key performance areas is not exhaustive and may be changed / supplemented to accommodate business needs from time to time:

1. Overall responsibility to manage Parts Department Personnel (bi-annual performance appraisals per staff member, payroll information to be compiled and submitted timeously, monthly departmental meetings, achieving employee morale survey target, managing leave and absenteeism, implementing and driving Investors In People in line with company strategic objectives, ensure effective inter-departmental and internal communication; maintaining compliance with company’s personnel policies with regards to hiring, terminations, compensation, benefits, discipline, grievances, safety and training).

2. Overall responsibility to ensure quality of customer interaction and service (support and guide the Parts team in attracting and securing new business, developing partnerships with and tailor-made solutions for clients; evaluation of Parts Aftermarket sales team’s development needs and ensuring lack of knowledge / skills are addressed; evaluation of administrative and supervisory staff development needs and ensuring lack of knowledge / skills are addressed).

3. Sound financial management of department in line with budget and company strategic objectives (ensure that sales and GP targets are met, stock availability is as per set targets, parts obsolescence is controlled, overheads and debtors are in line with company regulations and under control; ensure parts order processing happens fast and efficiently; ensure parts inventories / perpetual stock counts are done as per company policy).

4. Stock takes preparations and running of bi-annual stock takes on WMS / Manual system
Plan, prepare, submit, and ensure achievement of Parts department’s budget.
Preparation and presentation of weekly, monthly, and quarterly and ad hoc reports.
Overall responsibility to ensure Parts team follows administrative procedures correctly.
Manage development and performance of the Parts Aftermarket sales team; ensuring that the team maintain acceptable levels of coverage, growth, and profitability in their sales territories.

5. Drive customer service excellence and ensure good relations and communication with customers.

6.Grow department in line with company requirements.
