Job description:

The purpose of this position is to manage the Branch’s administration functions including but not limited to debtor’s, creditor’s, fixed assets, rental and overall co-ordination and oversight over branch activities. This role will be second in charge after the General Manager and will play a pivotal role in driving branch culture, performance and adherence to Company policies and procedures.

Profil request:

To perform this job successfully, the appointed individual must be able to perform each essential duty / key performance area satisfactorily. This list of key performance areas is not exhaustive and may be changed / supplemented to accommodate business needs from time to time:
Management of branch creditors – review of supplier reconciliations between statement and purchase ledger and review and approval of payments for submission to National cashbook.
Oversight and focus on regional branch’s Debtors books. Stringent review of branch’s debtor’s aging will need to be conducted on an ongoing basis to ensure overdue debtors are collected and provisions are reduced.
Monthly debtor’s collections targets to be driven and achieved.
Resolution on overdue debtors, dealing with customer disputes and reconciliations of accounts.
Vetting new customer accounts in accordance with the Company Credit Policy.
Management of the fixed asset register of the branch. This includes but is not limited to reassessing useful lives of assets annually, reviewing and approving low value capex’s (less than R50 000), fixed asset verification exercises, and maintenance of an accurate fixed asset register.
Overall responsibility to manage the rental department of the branch, with oversight over compliance of long term and short-term rental finance packs in compliance with company policies, timeous clearing of the rental clearing account, management of end of terms, excess hours and recovery of abuse, review of rental costings/quotes and compiling invoice schedules and other ad hoc support for rental customers.
Analyse management accounts to ensure overhead spend and allocation is accurate and in line with budget.
Preparation of annual Kerridge budget – per department for the whole region (all branches).
Provide support to the General Manager and promote a cohesive, performance-driven branch culture.
Overall responsibility to ensure quality of administration functions – ensure sound financial management of branch operations in line with budgets and company strategic objectives.
Preparation and presentation of weekly, monthly, and quarterly + ad hoc reports
Ensure proper and timeous communication to requests for information from Exco.
Ensure sound corporate governance in the branch by reviewing design and implementation of company policies and processes in the branch.
Assist and drive efficient branch audits by coordinating supporting information as requested by auditors in a timely manner.
Plan, direct, and coordinate the activities of employees in the branch administration and rental departments.
